An inbox that sorts itself: enquiries labelled and routed, standard replies drafted, and nothing important buried under newer mail.
I automate Gmail through the Gmail API from the code I build, and through Zapier, Make or n8n for simpler links between tools. It works for Workspace inboxes on a company domain and for regular @gmail.com accounts, so confirmations, follow-ups and incoming enquiries are handled the same way, whichever you use.
Almost every business already has a Gmail inbox, so there is nothing new to set up for the team. The Gmail API reports new emails as they arrive, so a workflow can react within seconds. Workspace adds higher sending limits and an admin-approved automation account; a personal account works too, with lower limits and stricter Google checks for apps that read your mail.
Code reads, labels, drafts and sends messages, with push notifications for new mail. It works for both personal and Workspace accounts.
Ready-made Gmail triggers and actions link the inbox to other apps. Zapier’s most popular Gmail template saves matching emails to Google Sheets.
Gmail’s own rules label, archive, star or forward incoming mail by sender, subject or keywords, with no code at all.
Google’s scripting language runs inside personal and Workspace accounts alike, for example on a schedule to process mail in bulk.
Simple scripts and older tools can send through Gmail’s mail server with an app password, which needs 2-Step Verification. Google recommends OAuth instead.
Enquiries or orders that match your rules become a row in a spreadsheet automatically.
Invoices and documents are filed in the right folder as they arrive.
Labelling an email creates a task in Trello, Asana or your to-do list.
Emails from key clients, or with words you choose, trigger a Slack or WhatsApp notification.
Invoice emails are read and their details added to your accounting sheet.
New leads get a quick personal reply, and you get a reminder if nobody has answered.
Only if you want it to. Starting with drafts you approve is a safe first step. Fully automatic replies can follow for the messages you trust.
A basic automation normally starts from €1,400. Larger AI systems depend on how many tools connect, the data involved, and the scope. You get a written price before anything is built, and the first call is free.
A bounded automation usually takes 2–4 weeks. A larger system with several integrations takes 4–8 weeks and is delivered in stages you can test along the way.
