- 97.5% faster payment processing at Best Western, with no more customer callbacks
- 1,000+ employees relied on systems Benjamin worked on
- 50+ business services automated and integrated

## How a project runs

1. Free intro call: tell me what slows you down, what you’d love to automate, and what you’ve already tried.
2. Written plan: what gets automated, which tools connect, and what it costs, before anything is built.
3. Build and test: you see it working with your own tools and data before it goes live.
4. Launch and support: I stay on to watch the first runs and adjust what needs adjusting.

## Good fit

- Your team repeats the same work every week
- Leads or bookings slip through because replies are slow
- Your tools don’t talk to each other, so people copy data between them
- You want AI and automation where they clearly save time or money
- You want it built and running, not just advice

## Probably not a fit

- A one-off task that takes a few minutes a month
- There’s no process yet. We’d need to agree on one first
- Nobody on your side can make decisions about the process
- You need it live tomorrow, with no time to test it
- You want the cheapest quick fix, not something that keeps running

## FAQ

### What does it cost?

A basic automation normally starts from €1,400 / $1,600 / SEK 15,000. Larger AI systems depend on how many tools connect, the data involved, and the scope. You get a written price before anything is built, and the first call is free.

### How long does it take?

A bounded automation usually takes 2–4 weeks. A larger system with several integrations takes 4–8 weeks and is delivered in stages you can test along the way.

### What happens after launch?

I watch the first runs and adjust what needs adjusting. After that, I keep monitoring your automations on a best-effort basis to make sure they run as they should. Hands-on support is optional: €60 / $70 / SEK 650 per hour for time actually used, capped at €200 / $230 / SEK 2,200 a month. A well-built system should rarely need it. If yours does, fixing that is on me. New features are quoted separately.

### Do I have to replace the tools I use?

Usually not. The point is to connect what you already have, like your inbox, calendar, WhatsApp or booking tool, so they work together instead of through copy and paste.

### Is my business too small for this?

If someone on your team spends hours every week on the same task, it’s usually worth a look. The intro call is there to find out, with no obligation.

## 1. Who is responsible

FlowAppeal is run by Benjamin, based in Sweden. He is the data controller for personal data handled through this website and in client projects, and you can reach him at benjamin@flowappeal.com.

No data protection officer has been appointed, as the law does not require one for a business of this size.

## 2. What personal data is handled

The website itself has no contact forms, no newsletter, no advertising and no analytics or tracking cookies. Personal data comes from three places:

- Technical data, such as your IP address, browser, device and the pages you request, processed by the hosting provider when you visit.
- Messages and contact details you share when you email me, or when you contact me through Upwork if you choose to.
- Information you provide during a project, such as access to tools and business data needed for the work.

## 3. Why, and on what legal basis

- Delivering the website and protecting it against attacks: legitimate interest.
- Replying to your emails and preparing a proposal: steps you ask for before a contract.
- Delivering a project: performance of the contract.
- Bookkeeping and tax: legal obligation.

## 4. Do you have to share data?

No. You can browse the site without sharing anything. To get a reply, a proposal or a project, I need your name, contact details and a description of what you need; without them I can’t help.

## 5. Cookies and browser storage

This site sets no cookies of its own. Your theme (light or dark) and currency choice are saved in your browser’s local storage so they stay the same next time. They never leave your device and you can clear them in your browser settings at any time.

YouTube videos, where shown, load in privacy-enhanced mode, which does not set cookies until you play a video.

## 6. Who else processes data

- Vercel Inc. hosts the website and runs its firewall.
- My email provider stores the emails you send me.
- Upwork, only if you choose to contact me or sign a contract there, under its own privacy policy.
- YouTube (Google), only if you play an embedded video.

Some of these providers are based in the United States. Transfers outside the EU rely on the EU–US Data Privacy Framework or the EU Standard Contractual Clauses. Email benjamin@flowappeal.com for a copy of the safeguards.

Personal data is never sold, traded or rented.

## 7. How long data is kept

- Server logs: kept by Vercel for a short period, for security and troubleshooting.
- Emails and enquiries that don’t lead to a project: deleted within 12 months of our last contact.
- Project and accounting records: kept for seven years, as Swedish bookkeeping law requires.

## 8. How data is protected

The site is served over HTTPS and protected by Vercel’s firewall. Access to client systems and project data is limited to what the work needs and removed when the project ends.

## 9. Your rights

Under the GDPR you have the right to:

- Access the personal data held about you.

The content is general information about my services and the tools I work with, not advice tailored to your business. I keep it up to date, but can’t guarantee it is always complete or current, and acting on it is your own choice.

## 2. Case studies

Case studies describe real projects. Some details are simplified or left out for confidentiality, and results depend on each business, so they are examples, not promises.

# AI automation consulting

Not sure where to start? I walk through your processes with you, find where time and money leak away, and tell you which tools fit. You get a clear list of what’s worth automating first, and what isn’t.

## What is AI automation consulting?

AI automation consulting is a review of how your business runs, done before anything is built. It looks at the work your team repeats, the tools you already use and where information is copied between them, and turns that into a ranked list of what to automate, where AI helps, and what to leave alone.

## How AI automation consulting works

It starts with a free intro call about what slows you down. Then we walk through the work step by step, the way it actually happens. I note where time goes, where information is retyped and where things get missed, and rank each opportunity by the time and money it saves. You end up with a written plan for the first build.

### Why start here?

Automating the wrong process costs more than it saves. Looking first means the first build goes after the work that wastes the most time, uses the tools you already pay for, and only adds AI where it clearly helps. If something isn’t worth automating, you hear that too.

## What’s included?

- **A walkthrough of how the work runs today**: Step by step through the tasks you bring: who does what, in which tool, and where it gets stuck.
- **Opportunities ranked by time and money saved**: Every idea weighed against what it saves, so the first build is the one that pays off fastest.
- **Tool advice based on what you already use**: Connecting what you have comes first. If a new tool would help, I recommend one that fits the size of your business.
- **A written plan for the first build**: Scope and cost in writing, so you decide before anything is built.

- Type: Consulting
- Starts with: Free intro call
- You get: A written plan

## A good fit if

- Work is piling up, but you don’t know what to automate first
- You’ve been pitched AI tools and can’t tell which ones fit
- You want a plan before you spend money on a build

## Recognise this?

- Your team spends hours a week moving information between tools
- You tried an automation tool once and it never stuck
- You’re not sure whether AI would help or just add risk

## Common questions

### Do I need to know what I want automated?

No. Most of the value is in finding it together. Bring the tasks that annoy you most and we start from there.

### What does it cost?

A basic automation normally starts from €1,400 / $1,600 / SEK 15,000. Larger AI systems depend on how many tools connect, the data involved, and the scope. You get a written price before anything is built, and the first call is free.

# Business process and workflow automation

Approvals, handovers, reminders and data entry that run on their own across the tools you already use. Your team stops copying and pasting, and gets back to the work that matters.

## What is workflow automation?

Workflow automation means the repeated steps in your business run on their own. An approval request goes out, a record is created, a reminder is sent, without anyone copying information from one tool to another. It connects the tools you already use, so a step in one starts the next step in another.

## How workflow automation works

I start by mapping the workflow as it runs today, step by step, including the handovers where things slow down. Then I connect the steps between your existing tools, so information entered once reaches every place it’s needed. Before anything goes live it’s tested with your own data, and you get documentation of how it all works.

### Why automate your workflows?

Manual steps cost time every week and break in the same places: retyped data, approvals that wait, reminders that depend on someone remembering. Automating them with the tools you already have closes those gaps without asking your team to switch to a new system.

## What’s included?

- **A map of the workflow as it runs today**: Every step, tool and handover written down, so it’s clear what gets automated and what stays with a person.
- **Connected steps between your existing tools**: Information entered once moves on to the next tool by itself, without copy and paste.
- **Alerts when something fails**: If a step can’t run, you hear about it straight away, so nothing breaks silently.
- **Testing with your own data**: Every workflow runs on real examples from your business before it goes live.
- **Clear documentation**: A plain description of what runs, when and in which tool, so your team knows how it works.

- Type: Automation build
- Starts with: Free intro call
- Typical timeline: 2–4 weeks
- Price: From €1,400 / $1,600 / SEK 15,000

## A good fit if

- The same steps are repeated every day or every week
- Information is retyped from one tool into another
- Things fall through the cracks during handovers

## Recognise this?

- New customer details are typed into three different systems
- Approvals wait in someone’s inbox for days
- Reminders only happen when someone remembers them

## Common questions

### What happens if an automation fails?

You get an alert, and I keep monitoring running automations on a best-effort basis, so problems are caught early instead of noticed weeks later.

### What does it cost?

A basic automation normally starts from €1,400 / $1,600 / SEK 15,000. Larger AI systems depend on how many tools connect, the data involved, and the scope. You get a written price before anything is built, and the first call is free.

# AI agents and chatbots

Chatbots for your customers and AI agents for your team, working from your own business information. They answer the common questions instantly and hand over to a person when it matters.

## What are AI agents and chatbots?

An AI chatbot answers questions in a chat, on your website or on WhatsApp. An AI agent goes a step further and takes actions in your tools, like booking an appointment, updating a lead or drafting a reply for your team to check. Both run on a language model, such as Claude, and work from information about your business that you approve.

## How an AI assistant for your business is built

We start with the questions that take up your day, collected from your inbox, phone and chats. Together we write down the approved answers and the limits, then I connect the assistant to your channel and to the tools it needs, and test it on real questions before launch. Once it’s live, I watch the first conversations and adjust the answers that can be better.

### Why clear limits matter

A business is responsible for what its chatbot says. When Air Canada’s chatbot made up a refund rule, a tribunal ordered the airline to pay. That’s why your assistant answers only from information you approve, leaves money and complaints to a person, and gives the same answer to the same question at any hour.

## What’s included?

- **A chatbot or agent that answers from information you approve**: Your services, prices, opening hours and policies, written down once. When the answer isn’t there, it says so instead of guessing.
- **Connections to the channels your customers use**: Your website chat or WhatsApp, linked to your calendar, CRM or inbox, so it can book a call or pass on a lead, not just talk.
- **Clear limits on what it may and may not do**: Refunds, complaints and anything else you choose stay with a person. It also tells people they’re talking to an AI, as the EU AI Act requires.
- **Handover to a person**: When someone asks for a person, gets frustrated or asks something outside the limits, the conversation comes to you with the full history, so nobody has to repeat themselves.
- **Testing on real questions before launch**: Real questions from your inbox and chats, including the badly phrased ones, checked against the right answers before any customer sees it.

- Type: AI assistant build
- Channels: Website, WhatsApp
- Hands over to: You or your team
- Starts with: Free intro call

## A good fit if

- Customers ask the same questions again and again
- Enquiries come in outside office hours
- Your team searches documents for answers every day

## Recognise this?

- Your phone and inbox fill up with the same five questions
- Leads wait until the next morning for an answer
- New staff keep asking where to find things

## Common questions

### Will the AI say things it shouldn’t?

It answers only from information you approve, and hands over to a person when a question falls outside that. You decide where the limits are.

### What does it cost?

A basic automation normally starts from €1,400 / $1,600 / SEK 15,000. Larger AI systems depend on how many tools connect, the data involved, and the scope. You get a written price before anything is built, and the first call is free.

# CRM and lead management automation

Every enquiry captured, routed and followed up automatically. No lead waits until tomorrow, and you see at a glance which ones need your attention.

## What is CRM and lead management?

CRM and lead management is how a business keeps track of every potential customer, from the first enquiry to a signed deal. Automating it means every enquiry is saved in one place, answered straight away, sent to the right person and followed up on time, without anyone copying details by hand.

## How lead management is automated

I start by listing every place enquiries come in: website forms, email, phone, WhatsApp, social media and ad forms. Each one is connected to a single place, your existing CRM or a simple lead dashboard, with duplicates merged and the source of every lead recorded. New leads get an instant reply with a booking link, the right person is notified, and follow-ups go out on a schedule until the lead books or says no.

### Why speed matters

Leads go cold fast. A Harvard Business Review study of online leads found that companies who replied within an hour were nearly seven times more likely to reach a decision maker than those who waited longer, and almost a quarter of companies never replied at all. An automatic first reply and reminders for your team close that gap, even outside office hours.

## What’s included?

- **One place where every new lead lands**: Forms, email, WhatsApp and ad forms all feed the same list, with duplicates merged and the source of each lead saved.
- **Instant replies and booking links**: Every new enquiry gets an answer straight away, with a link to book a first call, even in the evening or at the weekend.
- **Automatic follow-ups and reminders**: Follow-up messages go out on a schedule and stop as soon as the lead replies or books. Your team is reminded when a lead needs a personal touch.
- **A simple overview of every lead**: Who’s new, who’s booked and who needs a follow-up, in one view, so you see at a glance where each lead stands.
- **Follow-ups that respect the rules**: Answering an enquiry is part of good service. Newsletters and offers only go to people who said yes, as EU rules require.

- Type: Automation build
- Works with: Your CRM or a lead dashboard
- Starts with: Free intro call
- Price: From €1,400 / $1,600 / SEK 15,000

## A good fit if

- Leads arrive by form, email, phone and social media, and get lost in between
- Follow-ups depend on someone remembering
- You can’t see where each lead stands

## Recognise this?

- An enquiry sits unread for hours
- Booking a first meeting takes several emails
- You find out about a lost lead weeks later

## Common questions

### Do I need a new CRM?

Not necessarily. Often the tools you already have are enough once they’re connected. If a CRM would help, I recommend one that fits the size of your business.

### What does it cost?

A basic automation normally starts from €1,400 / $1,600 / SEK 15,000. Larger AI systems depend on how many tools connect, the data involved, and the scope. You get a written price before anything is built, and the first call is free.

# AI website readiness and discoverability

People now ask ChatGPT, Claude and Perplexity for recommendations. I structure your website so AI assistants and AI search understand what you offer, describe it correctly, and recommend you.

## What is AI website readiness?

AI website readiness means AI assistants and AI search can find your website, read it and describe your business correctly. ChatGPT, Claude, Perplexity and Google’s AI Overviews all start from the same place: pages their crawlers are allowed to fetch, with the important facts in plain text.

## How a website is made ready for AI

I start by checking how AI sees your site today: which AI crawlers your robots.txt and hosting let in, whether your pages show their content without JavaScript, and how ChatGPT, Claude and Perplexity describe your business now. Then I remove what blocks them, put your services, prices, area and opening hours in plain text, and add structured data that matches what’s on the page. On top come extras for AI agents, like llms.txt and Markdown versions of your pages.

### Why the basics matter most

There’s no secret file that gets you into AI answers. Google says its AI Overviews need nothing beyond good, crawlable pages, and a study by Vercel found that the major AI crawlers, apart from Google’s, don’t run JavaScript, so content that only appears after a script runs is invisible to them. A site can also block AI crawlers without the owner knowing, for example through Cloudflare, which blocks them by default on new sites.

## What’s included?

- **A check of how AI sees your site today**: Which AI crawlers get in, what they see without JavaScript, and how ChatGPT, Claude and Perplexity describe your business now.
- **robots.txt, hosting and sitemap set up for AI crawlers**: Search crawlers like OAI-SearchBot, Claude-SearchBot and PerplexityBot let in, so AI answers can cite you. Whether AI companies may also train on your content is your choice.
- **Clear, factual content AI can quote**: Services, prices, service area and opening hours in plain text on the page, not hidden in images or PDFs.
- **Structured data for your business, services and FAQ**: Schema.org markup that matches the visible text, as Google asks, so search engines and AI read the same facts your visitors do.
- **llms.txt and Markdown versions of your pages**: An extra for AI agents and assistants that read websites directly. No major AI search engine has confirmed using llms.txt yet, so it comes on top of the basics, not instead of them.

- Type: Website improvement
- Works for: ChatGPT, Claude, Perplexity, Google
- Starts with: Free intro call
- Example: This website

## A good fit if

- Your customers ask AI assistants to find businesses like yours
- Your website looks good but says little in plain facts
- You want AI search to quote you correctly

## Recognise this?

- AI assistants describe your business wrongly, or not at all
- Competitors show up in AI answers and you don’t
- Your prices and services are hidden in images or PDFs

## Common questions

### Can I see an example?

You’re on it. Every page of this site is available to AI assistants as Markdown, with llms.txt, structured data and a dedicated page for AI agents.

# Google Workspace automation

Gmail, Calendar, Sheets and Drive connected to each other and to the rest of your business, so information flows without copy and paste.

## What is Google Workspace?

Google Workspace is Google’s set of business apps, including Gmail, Calendar, Drive, Docs and Sheets, under your own domain. Everything runs in the cloud, so a team works on the same files at the same time, and admins manage users and security from one place. Each app has an API, and Google’s own Workspace Studio adds AI agents that automate work across the apps.

Type: Productivity & collaboration. Made by: Google.

## How I use Google Workspace in automation projects

I automate Gmail, Calendar, Sheets, Drive and Docs. Most of it runs through the Google Workspace APIs from the code I build, and for simpler links between tools I use Zapier, Make or n8n. Typical jobs are bookings that land in Calendar, form answers collected in Sheets, documents created and filed in Drive, and emails that go out on their own.

### Why Google Workspace for automation?

Most small businesses already work in Workspace, so automating it means no new software for the team to learn. Every app has a well-documented API that can report new emails and changes as they happen, the apps share one login and permission system, and almost every automation platform has a ready-made connector for Gmail and Sheets.

## How is Google Workspace automated?

- **Google Workspace APIs:** Code talks directly to Gmail, Calendar, Sheets and Drive. Push notifications report new emails and changes as they happen, and an admin can let one automation account work across the company.
- **Zapier, Make and n8n:** Ready-made connectors for Gmail, Sheets, Calendar and Drive link Workspace to hundreds of other apps without custom code.
- **Apps Script:** Google’s scripting language runs inside Workspace, started by a form submission, an edit in a sheet or a schedule.
- **Google Workspace Studio:** Google’s AI agents, formerly called Flows. You describe a task in plain words and Gemini runs it across Gmail, Drive, Sheets, Calendar and Chat.
- **AppSheet automation:** No-code bots that react to changes in a sheet, for approvals, onboarding and reports.

## What can you automate with Google Workspace?

- **Collect form submissions in Google Sheets:** Website forms, Google Forms and lead ads all land as rows in one sheet.
- **Add bookings to Google Calendar:** Appointments from your booking tool or website appear in the right calendar, with the details attached.
- **Send emails from Gmail automatically:** Confirmations, follow-ups and reminders go out from your own address when something happens.
- **Generate proposals and invoices in Docs:** Google Docs templates are filled in from your sheet or CRM data.
- **Create a Drive folder for each new client:** With the right subfolders, shared with the right people.
- **Send scheduled reports:** A weekly summary built from your Sheets data lands in your inbox.

## Common questions

### Do I need a paid Google Workspace plan?

Most automations work with any Workspace plan. If a feature needs a specific plan, you’ll see it in the written plan before anything is built.

### What does it cost?

A basic automation normally starts from €1,400 / $1,600 / SEK 15,000. Larger AI systems depend on how many tools connect, the data involved, and the scope. You get a written price before anything is built, and the first call is free.

# WhatsApp automation

Confirmations, reminders and answers to common questions on WhatsApp, the channel your customers already read. An AI assistant can handle the questions that come in at any hour.

## What is WhatsApp?

WhatsApp Business is the version of WhatsApp built for companies. The free Business app suits small teams who reply by hand, while the WhatsApp Business Platform lets software send and receive messages through an API. Messages a business starts must use templates approved by Meta, and free-form replies are allowed within 24 hours of the customer’s last message.

Type: Messaging & notifications. Made by: Meta.

## How I use WhatsApp in automation projects

I connect to WhatsApp through Meta’s Cloud API directly, from the code I build, with no extra provider in between. Confirmations and reminders go out as approved message templates, an AI assistant answers questions in the chat, and conversations that need a person are handed over with the history attached.

### Why WhatsApp for automation?

Customers tend to read WhatsApp far sooner than email, so confirmations and reminders actually get seen. Going direct to Meta’s Cloud API avoids a middleman’s monthly or per-message fees on top of Meta’s own pricing, and the approved templates and opt-in rules keep automated messaging within WhatsApp’s policies.

## How is WhatsApp automated?

- **WhatsApp Cloud API:** Meta’s own API, hosted by Meta. Your code sends template messages and receives incoming messages through webhooks, with no middleman fees.
- **Business Solution Providers:** Meta-approved providers such as Twilio and 360dialog resell the API with onboarding, dashboards and support, for a monthly or per-message fee.
- **Zapier, Make and n8n:** No-code platforms connect to WhatsApp through the Cloud API or a provider, for notifications and simple chatbot flows.
- **WhatsApp Flows:** Forms inside the chat, with fields, dropdowns and date pickers, for booking appointments or capturing leads without leaving WhatsApp.
- **WhatsApp Business app:** The free app offers greeting and away messages, up to 50 quick replies and labels, but no real automation or integrations.

## What can you automate with WhatsApp?

- **Send booking confirmations and reminders:** Appointment details and a reminder before the visit, with buttons to change or cancel.
- **Answer questions with an AI assistant:** Opening hours, prices and availability answered at any hour, from your own information.
- **Hand chats over to a person:** When a question needs a human, the conversation comes to you with the history attached.
- **Send order, payment and delivery updates:** Customers hear automatically when an order is confirmed, paid, shipped or ready.
- **Capture leads from ads and your website:** Click-to-WhatsApp ads and chat buttons start a conversation that lands in your CRM.
- **Collect feedback after a visit:** A short rating request after an appointment or delivery, with low scores flagged to you.

# Calendly automation

Bookings that flow straight into the rest of your business: confirmations, reminders, lead updates and follow-ups that happen on their own.

## What is Calendly?

Calendly is a scheduling platform that lets people book time with you without the usual back-and-forth emails. You set your availability once and share a booking link or embed it on your website. Calendly handles time zones, calendar updates and reminders, can take payment through Stripe or PayPal, and adds AI with Callie, a scheduling assistant, and Notetaker, which records and summarises calls.

Type: Scheduling & booking. Made by: Calendly.

## How I use Calendly in automation projects

I connect Calendly to the steps around a booking. An intake form sends people straight to the right booking page, and once a meeting is booked, the confirmation goes out by email and WhatsApp and the booking shows up in the lead dashboard, so nobody copies details by hand.

### Why Calendly for automation?

Calendly handles the hard parts of booking, like time zones, buffers and calendar conflicts, and customers already know how it works. Its webhooks report every booking, cancellation and no-show the moment it happens, so the rest of your workflow can react straight away.

## How is Calendly automated?

- **Webhooks and the Calendly API:** Calendly sends an event for every new booking, cancellation, no-show and routing form submission, and the API reads the details. Webhooks need a paid Calendly plan.
- **Calendly Automations:** Built-in emails and texts that go out before a meeting, when it ends, or when someone is marked as a no-show.
- **Routing:** Forms from Calendly, HubSpot, Marketo or Pardot qualify leads and send them to the right person’s calendar, using live CRM ownership in HubSpot or Salesforce.
- **Integrations and embeds:** Ready-made connections to HubSpot, Salesforce, Zoom, Stripe and PayPal, and a website embed that tells your site when a meeting is booked.
- **Zapier, Make and n8n:** Calendly triggers link bookings to CRMs, Slack, email lists and spreadsheets without custom code.

## What can you automate with Calendly?

- **Add new bookings to your CRM:** Each booking creates or updates the contact in HubSpot, Pipedrive or your own lead dashboard.
- **Notify your team when someone books:** A message in Slack, email or WhatsApp with who booked, when, and what they want.
- **Send reminders and reconfirmations:** Reminders by email, text or WhatsApp before the meeting, plus a request to confirm, to cut no-shows.
- **Win back no-shows:** When a meeting is marked as a no-show, the person gets a friendly invite to book a new time.
- **Follow up after the meeting:** A thank-you, a short feedback survey or a link to book the next session, sent when the meeting ends.
- **Route form leads to the right meeting:** Answers on your website form or Typeform decide who they meet and which meeting they book.

# Gmail automation

An inbox that sorts itself: enquiries labelled and routed, standard replies drafted, and nothing important buried under newer mail.

## What is Gmail?

Gmail is Google’s email service. It comes free with a personal @gmail.com address, and it is also the inbox inside Google Workspace, where it runs on your own company domain with higher sending limits. Labels, filters and search keep mail organised, and with your permission the Gmail API lets other software read, sort, draft and send messages.

Type: Messaging & notifications. Made by: Google.

## How I use Gmail in automation projects

I automate Gmail through the Gmail API from the code I build, and through Zapier, Make or n8n for simpler links between tools. It works for Workspace inboxes on a company domain and for regular @gmail.com accounts, so confirmations, follow-ups and incoming enquiries are handled the same way, whichever you use.

### Why Gmail for automation?

Almost every business already has a Gmail inbox, so there is nothing new to set up for the team. The Gmail API reports new emails as they arrive, so a workflow can react within seconds. Workspace adds higher sending limits and an admin-approved automation account; a personal account works too, with lower limits and stricter Google checks for apps that read your mail.

## How is Gmail automated?

- **Gmail API:** Code reads, labels, drafts and sends messages, with push notifications for new mail. It works for both personal and Workspace accounts.
- **Zapier, Make and n8n:** Ready-made Gmail triggers and actions link the inbox to other apps. Zapier’s most popular Gmail template saves matching emails to Google Sheets.
- **Filters and labels:** Gmail’s own rules label, archive, star or forward incoming mail by sender, subject or keywords, with no code at all.
- **Apps Script:** Google’s scripting language runs inside personal and Workspace accounts alike, for example on a schedule to process mail in bulk.
- **SMTP with an app password:** Simple scripts and older tools can send through Gmail’s mail server with an app password, which needs 2-Step Verification. Google recommends OAuth instead.

## What can you automate with Gmail?

- **Log matching emails in Google Sheets:** Enquiries or orders that match your rules become a row in a spreadsheet automatically.
- **Save attachments to Google Drive:** Invoices and documents are filed in the right folder as they arrive.
- **Turn emails into tasks:** Labelling an email creates a task in Trello, Asana or your to-do list.
- **Get alerts for important senders:** Emails from key clients, or with words you choose, trigger a Slack or WhatsApp notification.
- **Capture invoices for bookkeeping:** Invoice emails are read and their details added to your accounting sheet.
- **Follow up on new enquiries:** New leads get a quick personal reply, and you get a reminder if nobody has answered.

## Common questions

### Will it send emails without me?

Only if you want it to. Starting with drafts you approve is a safe first step. Fully automatic replies can follow for the messages you trust.

### What does it cost?

A basic automation normally starts from €1,400 / $1,600 / SEK 15,000. Larger AI systems depend on how many tools connect, the data involved, and the scope. You get a written price before anything is built, and the first call is free.

# Claude AI automation and integration

Category: AI models & assistants. Language models behind the chatbots, agents and AI-powered steps.

## What is Claude AI?

Claude is a family of AI models made by Anthropic. People use it as a chat assistant, and developers build it into their own software through the Claude API. It reads and writes text, works with documents and images, follows detailed instructions, and can call tools to look things up or take actions. Claude Code is Anthropic’s coding agent, built on the same models.

Type: AI models & assistants. Made by: Anthropic.

## How I use Claude AI in automation projects

I use Claude in two ways. In client automations, Claude is the AI step that reads, sorts, drafts and answers, like an assistant that replies to customers on WhatsApp, always within clear rules and with a person in the loop where it matters. And I build the projects themselves with Claude Code, Anthropic’s coding agent.

### Why Claude AI for automation?

Claude follows detailed instructions closely and stays within the limits it’s given, which matters when it talks to your customers or touches your data. Structured outputs return data in exactly the format the next step expects, and prompt caching and batch processing keep running costs down. I still choose the model per project.

## How is Claude AI automated?

- **Claude API:** Your code sends a request and gets an answer back. Tool use lets Claude call your own functions, and structured outputs guarantee the data comes back in the shape the next step needs.
- **MCP connectors:** The Model Context Protocol connects Claude to tools like Zapier, Make, n8n and your own systems through one open standard.
- **Zapier, Make and n8n:** Ready-made Claude steps drop AI into no-code workflows for sorting, summarising and drafting.
- **Agent SDK and Managed Agents:** For agents that work through longer tasks on their own. The Agent SDK runs Claude Code’s agent on your own servers, while Managed Agents runs it on Anthropic’s side, on a schedule if needed.
- **Message Batches:** Large jobs, like classifying thousands of records overnight, run in the background at half the normal price.

## What can you automate with Claude AI?

- **Triage support requests:** Incoming emails and tickets are sorted by topic and urgency, then routed to the right person.
- **Qualify new leads:** Form answers and messages are read, the lead is scored, and the CRM fields are filled in.
- **Extract data from invoices and documents:** Amounts, dates and names from PDFs and emails go to your spreadsheet or accounting tool, with a person checking exceptions.
- **Draft replies for your team to approve:** A ready draft for each message, so your team reviews instead of writing from scratch.
- **Answer customers from your own information:** A chatbot answers from your prices, policies and FAQs, and says so when it doesn’t know.
- **Flag unhappy customers:** Negative feedback and reviews are spotted and sent to you straight away.

# Codex AI automation and integration

Category: AI models & assistants. Language models behind the chatbots, agents and AI-powered steps.

## What is Codex AI?

Codex is OpenAI’s coding agent. It works in the terminal through the open-source Codex CLI, inside code editors, and in the cloud, where it takes a task, works in its own sandbox and returns a pull request. On GitHub it reviews pull requests, and a headless mode lets it run inside build pipelines with nobody at the keyboard.

Type: AI models & assistants. Made by: OpenAI.

## How I use Codex AI in automation projects

I use Codex alongside Claude Code when building client projects: writing and refactoring code, adding tests and reviewing changes before they go live.

### Why Codex AI for automation?

A second coding agent from a different AI lab gives an independent check, so a review by one can catch what the other missed. Codex’s headless mode and official GitHub Action also make repeatable code tasks easy to automate, like reviewing every change or fixing a failing build.

## How is Codex AI automated?

- **Codex CLI:** The open-source command-line agent runs on your own machine and edits code in your project, with approval settings for what it may change.
- **Headless mode:** The codex exec command runs Codex without a person at the keyboard, from scripts, scheduled jobs or build pipelines.
- **Codex GitHub Action:** OpenAI’s official action runs Codex inside GitHub workflows to review pull requests, apply patches or fix a failing build.
- **Codex cloud:** Tasks run in OpenAI’s own sandboxes, connected to your GitHub repository, and come back as pull requests.
- **GitHub code review:** Mention @codex review on a pull request and Codex posts a structured review of the changes.

## What can you automate with Codex AI?

- **Review every pull request:** Codex reviews changes automatically and flags bugs before they reach your live site.
- **Fix failing builds:** When tests fail, a workflow lets Codex propose a fix, re-run the tests and open a pull request.
- **Prepare releases:** Release notes and changelog entries are drafted from the changes since the last version.
- **Run code migrations:** Repetitive updates across many files, like upgrading a library, arrive as one change to review.
- **Scan for security issues:** Codex Security checks repositories for vulnerabilities and prepares fixes.
- **Turn tasks into pull requests:** A clearly written task becomes a working change in a sandbox, ready to review.

# Supabase automation and integration

Category: Databases & backend. The databases behind the apps and automations I build.

## What is Supabase?

Supabase is a backend platform built on a Postgres database. Every project comes with user logins, file storage, realtime updates and ready-made APIs, so an app can store and serve data without a custom server. It is open source, and can run on Supabase’s cloud or your own servers.

Type: Databases & backend. Made by: Supabase.

## How I use Supabase in automation projects

I use Supabase as the Postgres database behind client dashboards and automations, and work with it through Prisma ORM, so data from forms, bookings and messages ends up in one place.

### Why Supabase for automation?

It gives a managed Postgres database without servers to run, and Prisma on top keeps the data model typed and changes to it safe. Because it is standard Postgres, your data stays portable.

## What can you automate with Supabase?

- **Collect data from every tool in one database:** Forms, bookings and messages write to one Postgres database instead of separate apps.
- **React to new or changed records:** A new record or status change sends a Slack alert, an email or a WhatsApp message.
- **Sync new leads to your CRM or email list:** New records reach HubSpot, Mailchimp or wherever your team works.
- **Export reports to Google Sheets:** Yesterday’s orders or this week’s leads land in a sheet on a schedule.
- **Get alerts when a value crosses a limit:** For example low stock, overdue invoices or leads waiting too long.
- **Clean up old data automatically:** Expired entries and unsubscribes are removed on a schedule.

# Vercel automation and integration

Category: Hosting & deployment. Where the websites and apps run, with automatic deploys.

## What is Vercel?

Vercel is a cloud platform for hosting websites and web apps. Connect a Git repository and every change is built and deployed automatically. Sites are served from a global network with HTTPS included, a firewall guards against attacks and bots, and server functions, scheduled jobs and AI tools run without servers to manage.

Type: Hosting & deployment. Made by: Vercel.

## How I use Vercel in automation projects

I host client websites and dashboards on Vercel. Every change I push to Git is built and deployed automatically, the client’s domain is connected with HTTPS set up automatically, and Vercel’s firewall adds protection against attacks and unwanted bot traffic.

### Why Vercel for automation?

Deploys need no manual steps, so updates go live quickly and the same way every time, and there are no servers for you to maintain. It’s also a great combination with Cloudflare: Cloudflare manages the domain and its DNS records, while Vercel builds, hosts and protects the site.

## What can you automate with Vercel?

- **Deploy every change automatically:** Push to Git and the site is built and live minutes later, with no manual uploads.
- **Rebuild the site when content changes:** Deploy hooks let a CMS or an automation tool trigger a fresh build when new content is published.
- **Block attacks and spam bots:** Firewall rules and bot protection keep forms and APIs safe from abuse.
- **Receive webhooks from your tools:** Server functions react to bookings, payments and messages from tools like Calendly, Stripe or WhatsApp.
- **Run scheduled jobs:** Cron jobs sync data, send reminders and build reports on a timetable.
- **Run AI chatbots and multi-step workflows:** Vercel’s AI SDK and Workflows power assistants and automations that retry failed steps and wait for approval.

# Next.js automation and integration

Category: Web development. Frameworks and languages for websites, portals and dashboards.

## What is Next.js?

Next.js is an open-source React framework for building websites and web apps. Routing, server rendering and data loading work out of the box, so pages load fast and are easy for search engines to read. The front end and the server code, such as form handling and API endpoints, can live in one project.

Type: Web development. Made by: Vercel.

## How I use Next.js in automation projects

I build websites, client dashboards and intake forms with Next.js. Forms start the next step on their own, like a booking, an email or a CRM update, and route handlers receive webhooks from other tools. Data goes through Prisma to a Postgres database on Supabase, and the sites come with Markdown versions, llms.txt and structured data so AI assistants can read them.

### Why Next.js for automation?

One framework covers the website, the dashboard and the endpoints that connect your tools, so a project stays in one place and is quicker to change. Pages load fast, and server-side code keeps API keys out of the browser.

## What can you automate with Next.js?

- **Turn form submissions into leads:** A form sends the lead to your CRM, books a meeting or emails you, with API keys kept safely on the server.
- **Receive webhooks from other tools:** Route handlers verify events from tools like Stripe, Calendly or WhatsApp and update your database.
- **Connect to Zapier, Make or n8n:** Simple endpoints let no-code automations send data to your app and read from it.
- **Show live data in dashboards and portals:** Owners, teams or clients see leads, bookings and status, read straight from the database.
- **Refresh pages when content changes:** A CMS webhook tells the site to update only the changed pages, without a full rebuild.
- **Make your site readable for AI assistants:** Markdown versions, llms.txt and structured data give AI assistants a clean copy of your content.

# TypeScript automation and integration

Category: Web development. Frameworks and languages for websites, portals and dashboards.

## What is TypeScript?

TypeScript is a programming language that builds on JavaScript by adding types. It catches mistakes while the code is being written, before anything runs, and makes larger projects safer to change. It turns into plain JavaScript, so it runs anywhere JavaScript does.

Type: Web development. Made by: Microsoft.

## How I use TypeScript in automation projects

Every project I build is written in TypeScript: websites, dashboards, forms, webhook handlers and standalone automation scripts. Prisma generates the types for the database, and Zod checks form input and incoming webhook data before anything is saved or sent on.

### Why TypeScript for automation?

Types catch mistakes while the code is being written, before an automation touches real customer data. Types alone can’t check data that comes in from outside, so validating it with Zod at the edges closes that gap, and the code stays safe to change later.

## What can you automate with TypeScript?

- **Validate form input and webhook data:** Zod checks every field from forms and other tools before it reaches your database.
- **Call APIs through typed SDKs:** Official TypeScript SDKs from Stripe, Anthropic and others show exactly what each API expects and returns.
- **Keep the database and code in sync:** Prisma generates types from the database schema, so a changed field shows up everywhere it’s used.
- **Write standalone automation scripts:** Syncs, imports, cleanups and scheduled jobs run in Node with the same checks as the app.
- **Automate Google Workspace with Apps Script:** Apps Script can be written in TypeScript and deployed with Google’s clasp tool.
- **Generate API clients from a specification:** An API’s OpenAPI spec becomes a typed client, so the integration stays in step with the API.
